How to locate your data on the Flatpay Portal

This guide provides a detailed walkthrough on how to find and access various types of data within the Flatpay portal. Whether you need transaction details, payout information, in-depth transaction reports, or end-of-day summaries, this article will guide you through each section of the portal, with notes on country-specific features where applicable.

Flatpay Overview (Frontpage)

When you first log into the Flatpay portal, you land on the Overview page. This page gives you a snapshot of your daily business performance, showing metrics like the total number of transactions, today’s revenue, and the total refunds processed. You can also compare today’s figures with those from the same day last week, helping you to quickly gauge how your business is performing.

Transactions Page

To dive deeper into your transactions, navigate to the “Transactions” tab in the sidebar. This page lists all transactions processed through your terminals, including details like the date, type, card type, amount, status, and terminal name. You can filter transactions by date or other criteria, and if needed, download the data in CSV or PDF format for further analysis.

Payouts Page

The Payouts page provides a clear overview with detailed payout dates, periods, fees, surcharges, net collections, and net payouts. This gives you a daily view of all your actions. An added feature is that you can download the report as either a PDF or Excel file, making it much easier to keep track of your finances or send it directly to your accountant if needed.

Z-Reports Page

The “Z-Reports” section is crucial for end-of-day summaries. Each report includes start and end times, terminal ID, terminal name, and total revenue. You can view or download detailed Z-Reports for each session, ensuring that all transactions are accounted for before closing your business for the day.

POS Dashboard

The “Dashboard” under the POS section provides a real-time overview of your daily sales. It shows metrics like the number of products sold, card and cash payments, and total revenue. Additionally, a sales graph displays daily sales trends over a selected period, helping you monitor business performance at a glance.

Sales Overview

In the “Sales Overview” section, you can view and analyze sales data by product, category, discounts, and total amounts. This page also allows you to generate and send sales reports for specific time periods, which is helpful for tracking the performance of different products or categories.

Orders Page

The “Orders” section gives you detailed insights into each order, including the date, employee name, invoice amount, payment type, discounts, receipt status, register ID, and order status. This page is essential for managing and reviewing all orders processed through the POS system, and you can also filter and export this data for further analysis.

Drawer Reports

The “Drawer Reports” page is used to track the activity of your cash drawers, including when they were opened and closed, start amounts, cash and card payments, and the expected versus actual amounts in the drawer. This section is particularly important for end-of-day cash reconciliation, and the reports can be downloaded for record-keeping.

Country-Specific Reporting

Finally, depending on your location, there are specific reporting features available:

  • Denmark: (SAF-T Reports): The “SAF-T” section allows Danish merchants to generate and download SAF-T reports, which are necessary for tax and audit compliance.
  • Germany: (Fiscaly Reports): In Germany, the “Fiscaly” section serves a similar purpose, enabling merchants to create and manage the compliance reports required by local regulations.
  • Finland: Merchants in Finland do not have an equivalent section, but they can utilize other reporting features available on the portal.

The Flatpay portal is designed to give you easy access to all your financial and transaction data, tailored to meet the specific requirements of your country. By familiarizing yourself with these sections, you can efficiently manage your business’s finances, track performance, and ensure compliance with local regulations.
