Managing staff on your standalone Flatpay terminal

Creating and managing staff accounts is an important part of running your business.


This guide explains how to create staff members for your business, assign roles, and the importance of unique logins for reporting and compliance.


To create and manage staff members, first go the the Flatpay Customer Portal.


If this is your first time logging into the customer portal, you'll find your login information in an email from us. If you did not receive an email with your login information, contact our support on: (Add country specific number and email).


Creating or managing staff members

To create new staff, go to the menu point "Staff" in the portal menu, and choose "Terminal accounts"

  1. Press "Add" and enter their name, language and a PIN code unique to them
    This PIN will identify the user when they log in to Flatpay devices. It's important that all staff members that interact with your payment terminal have been added to the staff page. This is especially important in the UK because of regulations on tipping* and also to create more detailed reports on your business' performance.
  2. Choose whether they are a "seller" or a "manager"
    Sellers can only perform sales on the payment terminal, while managers can make sales, issue refunds and change terminal settings.
  3. Press "Save changes"
    Your staff member can now access the terminal via their PIN and perform sales and refunds if permitted.
  4. If you want to edit or delete a staff member:
    Simply click on the staff member you want to edit and either change their profile, or delete it in the top right corner.


Staff reports

Flatpay provides staff-level reporting on total sales, refunds and tips per staff member. 

  • Generate the report by clicking the "generate report"-button on the "terminal accounts" page.
  • You can also find the report under "Custom reports" under the "Reports" menupoint in the portal menu.
  • Select a timespan for the report.
  • The report will be sent to your business-email.
