Getting started with the Flatpay customer portal: POS edition

Manage your entire POS setup from one place: track sales, configure products, add staff, generate reports, and more. This guide is designed to help you quickly understand and use the most important features in the Flatpay Customer Portal.

Track business performance (Dashboard)

Start at your Dashboard to get a quick overview of daily revenue, number of products sold, and the breakdown between card and cash payments.

Tip: You can also use the Search bar at the top of the portal to jump directly to a page or function.


Monitor sales and transactions

Under the Sales section, you can:

  • Orders: See a list of all sales marked as completed or failed.

  • Sales overview: Filter and download sales reports by hour or time period.

  • Card transactions: View all transactions with details like card type, date, amount, and status. Filter by criteria and export in CSV or PDF format.


View and export payouts

Navigate to Payouts to track daily deposits to your account, including:

  • Payout dates & periods

  • Fees and surcharges

  • Net collections and net payouts

Download payout reports in PDF or XML format to share with your accountant.


Generate key business reports

Head to Reports to access:

  • Register report: See a complete overview your business day, starting and ending cash, and expected totals.

  • Z Reports: Daily summaries of transactions per terminal, downloadable for each business day.

  • Custom reports: Explore specialized insights. This section is growing, so check back regularly.


Manage your POS

In the POS section:


Set up and monitor devices

Under Devices, manage your hardware:

  • Terminals: Name your payment terminals and enable tipping.

  • Point of sale: Manage multiple POS setups and assign names/IDs.

  • Printers: Check the status of connected printers.


Add and manage staff

Go to Staff to:

  • Add employees with login details and preferred language.

  • Assign permissions.

  • Enable detailed staff reporting.

Make sure each staff member has a profile for accurate reporting.


Connect to accounting software

In Accounting, link your accounting system (e.g., e-conomic, Dinero) to automatically sync financial data. Read how to connect your accounting software.


Update business settings and info

In Store settings, you can:

  • Store information: Set operating hours (affects report timing).
  • Other payments: Set up alternative payment types.

  • Tips: Enable tipping and set custom tip suggestions.

  • Takeaway / Dine-in: Does your business offer takeout? Enable the functionality here to differentiate orders between Dine-in and Takeaway.

  • Taxes: Update your VAT settings.

  • External access: Give access to third-party POS providers.

In My business:

  • Accounts: Add customer portal users.

  • Company details: Update business name, address, contact info.

  • Agreements: View your current Flatpay contract.
